Walmart Fulfillment Services Problems: Where WFS Breaks and How to Fix It
Most Walmart Fulfillment Services problems don't start at Walmart. They start in your own data: a shipping plan with a bad date, a GTIN that is one digit short, an item that was never converted to Walmart-fulfilled. WFS then turns that small mistake into a delayed receipt, a stuck shipment, or a cancellation that counts against your account.
This post walks through the Walmart Fulfillment Services problems sellers hit most often, and why. It leans on what Walmart's own Seller Center guides say, labels Izba's view as Izba's view, and says so plainly where Walmart's public pages go quiet. It is written for sellers who already use WFS, or are about to, and want fewer surprises.
The short version: the symptom you see in Seller Center is usually three steps downstream from the cause. Fixing the symptom gets you through this week. Fixing the cause is what keeps the next fire from starting.
Item feed and shipping plan errors, and why they keep happening
Many Walmart Fulfillment Services problems begin as mechanical shipping plan errors, and Walmart lists them in plain text. Walmart's inbound order troubleshooting guide (opens in new tab) covers dates set in the past (the estimated ship date needs to be at least 2 days out), item quantity that doesn't equal inner pack quantity times vendor pack quantity, plans outside 1 to 5,000 items, duplicate item rows, and GTINs that aren't 14 digits.
Two errors deserve more attention than a typo fix. "Item is not WFS Eligible" can mean the product is prohibited. "Item information is not present" means the item was never set up as Walmart-fulfilled, and Walmart says converting it through a template is the only fix for that error.
The item side has its own list. Walmart's item feed error guide (opens in new tab) includes missing country of origin, a missing battery type, an invalid GTIN check digit, and a SKU that was previously used with a different GTIN. It also notes that if WFS items aren't published 24 hours after submission, something is probably wrong. Items with chemicals, aerosols, pesticides or batteries can be held up to 3 business days for compliance review.
Why they keep happening
The errors repeat because the process around them is manual. The same product data lives in a spreadsheet, an ERP and Seller Center, and each shipping plan gets rebuilt by hand from a template. Walmart's inbound order error documentation (opens in new tab) adds a detail that makes this worse: once you fix an error and resubmit under the same inbound order ID, the historical errors for that ID are removed. If nobody logs them first, the pattern disappears along with the error.
What actually happens when inventory goes missing at a Walmart fulfillment center
With Walmart Fulfillment Services problems like missing units, the clock starts before you notice, and the windows are short. Walmart's receiving issues guide (opens in new tab) says properly packed and labeled items are usually received within 2 business days, and that Walmart will investigate a reported issue within 7 business days. A dispute claim can be opened between 10 and 50 days after the shipment is delivered, as confirmed by tracking.
That guide names five common reasons shipments stall in receiving: damage, incorrect prep such as missing poly bags or unscannable barcodes, an unexpected item, incorrect item setup, and overage. Select sellers also see an Investigate shipment option on the Track items tab, available only once a shipment shows Completed with missing received units. The fill rate on that tab is how you compare units shipped against units received.
Two limits are worth knowing. Walmart's guide says sellers are not reimbursed for expired inventory, and that Walmart can dispose of damaged or expired units. For removal orders, the removal guide (opens in new tab) gives 60 days from the financial deduction to dispute missing or damaged units and 30 days for inventory never delivered back, and says it won't investigate past those windows.
What Walmart's public pages don't say. The receiving guide doesn't describe reimbursement amounts or payout timing, and the page on reconciling WFS inventory returned no content when we opened it. So we can't point you to a published rule for units that disappear after they were received. Treat that as a reason to keep your own record of units shipped, received and available, and to check each week, not each quarter.
How feed errors turn into cancellations, and cancellations turn into account health problems
Walmart's seller performance standards (opens in new tab) set the targets: a cancellation rate of 2% or below, on-time delivery of 90% or above, and a valid tracking rate of 99% or above. The page says cancellations the seller is accountable for include out-of-stock items, pricing errors, an incorrectly marked unserviceable address, and an expired ship window. It also says an order can be cancelled automatically if the estimated ship date is missed.
Read that list again with feeds in mind. Out-of-stock and pricing errors are often feed problems: an inventory number that is stale, a price that didn't update, an item that never published. The order arrives anyway, and you can't fill it the way it was sold.
In most chains of Walmart Fulfillment Services problems, a feed error leaves data out of sync. The data mismatch produces an order you can't ship cleanly. The order becomes a cancellation. Enough cancellations push a rate past its threshold. Walmart's page says failing a standard requires immediate action and that inaction may result in suppression, suspension or termination. For scale: at 500 orders, 2% is 10 cancellations. That is a bad week for a small catalog, not a rare one.
What the page doesn't spell out matters too. It doesn't give consequences per metric or an evaluation window for each one, and it includes WFS notes you should read against your own dashboard instead of assuming how your WFS orders are counted. If a metric is already trending the wrong way, our post on what to do when a Walmart Marketplace account is suspended covers the next steps.
WFS vs. self-fulfillment vs. Drop Ship Vendor, revisited
None of the three models removes operational risk. Each one moves it to a different place, and the useful question is where you would rather catch errors.
| WFS | Self-fulfillment | Drop Ship Vendor (DSV) | |
|---|---|---|---|
| Who ships the order | Walmart, from its fulfillment centers | You or your 3PL | The supplier, direct to the customer |
| Where errors usually surface | Item setup, shipping plans, receiving, unit counts | Inventory and price feeds, ship dates, tracking | Order and shipment data exchanged with Walmart |
| What you control | The data and prep going in | Everything from pick to scan | Fulfillment, within Walmart's supplier requirements |
| Typical failure | A mismatch found after units are already in transit | A missed ship date or invalid tracking | A gap between what Walmart expects and what you send |
DSV is a Walmart retail supplier route, not a Marketplace seller setup, so it follows different rules. Our post on getting into Walmart retail covers how that path works.
Many brands end up running a mix, for example WFS for the fastest sellers and self-fulfillment for bulky or low-volume items. In Izba's view, a mixed catalog doubles the number of places something can drift out of sync. That is rarely a reason to avoid it, but it is a reason to decide who watches each surface.
Building a process that catches Walmart Fulfillment Services problems before Walmart does
Catching these errors early comes down to a few habits.
- Keep one source of truth for item data. GTINs at 14 digits, dimensions, country of origin and battery type should be set once and pushed everywhere. Walmart says it measures items during receiving, and mismatched dimensions may affect your WFS fees.
- Run a pre-flight check on every shipping plan. Confirm the ship date is at least 2 days out, the quantity math holds, the plan is under 5,000 items, and every item is already converted to Walmart-fulfilled.
- Log errors before you resubmit. Walmart removes the history once an inbound order ID is resubmitted, so copy the error report first. The inbound shipment errors endpoint returns code, field and description for each one.
- Reconcile units on a schedule. Compare shipped, received and available units weekly, and put the 10 to 50 day dispute window and the 30 and 60 day removal windows on a calendar.
- Set an early-warning line below Walmart's thresholds. Izba's suggestion is to investigate when cancellation rate passes 1%, well before the 2% line.
- Give one person ownership. Errors that belong to everyone get fixed by no one.
Fix the root cause, not just the symptom
If the same Walmart Fulfillment Services problems keep coming back, whether shipping plan errors, receiving delays or cancellations, the answer is rarely another resubmission. It is usually a data or process gap upstream. An Izba operator can look at where your feeds, shipping plans and inventory counts drift apart and help you close the gap. Start with a Walmart Marketplace assessment.
